DataShare spotlight: History, Classics and Archaeology in DataShare

To celebrate World Digital Preservation Day 2024, this is the first in a series of occasional blog posts which seek to shine a light on some interesting examples of datasets uploaded to DataShare, the University of Edinburgh’s open access data repository.

Research data that is deposited in DataShare comes from across the Colleges and Schools and can relate to cutting-edge scientific research or exploration of under-studied social worlds, however, we also receive valuable historical research data too!

A prime example of this is an item submitted by Professor Charles West, who is based in the School of History, Classics and Archaeology, titled “Autun List of Local Churches, c. 1000”. As neatly described in the title, it contains a list of 144 churches in the diocese of Autun, France, which was made around the year 1000. An example of one of the churches, the Church of Saint Martin in Cordesse, can be seen in the photo below.

According to the item’s description: “The dataset provides the names in the list, the modern place-names, the departement these places are located in, their order in the original list, whether each church is attested in earlier documentation or not, and if so, approximately when.”

The item took on a new life when it was shared on Twitter (now known as X), where a user, William J.B. Mattingly, took the dataset and added latitudinal and longitudinal data to create a mapped visualisation shown in a video. This reuse is documented in the Altmetrics of the item, which details how a DataShare item has been shared or cited. It is also a neat demonstration of how data shared on DataShare can be reused in useful and creative ways!

Lunchtime Seminar Series – digestible bites of knowledge on data and computing tools at the University of Edinburgh

For 2023/2024, Digital Research Services have organised a new iteration of the Lunchtime Seminar Series. These one-hour hybrid seminars will examine different slices of the research lifecycle and introduce you to the data and computing expertise at the University of Edinburgh.

The seminars have been designed to answer the most common questions we get asked, offering valuable bite-sized learning opportunities for research staff, postgraduate research students, and professional staff alike. You will gain an understanding of how digital research fits in with wider research support teams and good research practices. Your sessions will cover research funding, research planning, tailored skill development, data management and advancements in AI.

Oh, and did we mention there is free lunch for in-person attendees? That is truly the cherry on top.

Seminar 1: How to plan and design your research project better.                        22nd January 12:00 – 13:00

This session is all about making sure researchers head off with a strong start. Did you know that the University has tools that help you optimise your data management plan, with funder specific templates and in-house feedback? We will make sure you get the best use out of DMPOnline and the Resource Finder Tool. We will also introduce you to some key concepts in data management planning, research funding and digital skill development.

Seminar 2: How to store and organise your data properly.                                    27th February 12:30-13:30.

Discover how to best store and organise your data using University of Edinburgh’s tools: DataStore, DataSync and GitLab. If you work in a wet lab, you might be particularly interested in electronic lab notebooks. We will introduce you to the functionalities of RSpace and protocols.io. Finally, the University has just launched an institutional subscription to the Open Science Framework (OSF). You will discover that it is much more than a tool for data storage, as it can help manage complex workflows and projects as well.

Seminar 3: How to interpret and analyse your data efficiently.                              13th March 12:00-13:00

This seminar is mainly about big computers, such as UoE’s Eddie and Eleanor. Through EPCC, researchers can get also access to large scale national supercomputers, such as Archer and Cirrus. At the same time, we will show a glimpse on some developments on the AI front.

Seminar 4: How to manage, publish, share and preserve your work effectively.  2nd April 12:00-13:00

The final seminar is all about making sure your work is published and preserved in the best way. We will talk you through different (open access) publishing pathways such as Journal Checker, Edinburgh Research Archive, Read & Publish journal list, Edinburgh Diamond. We will also be talking about data repositories (e.g. DataVault, DataShare) and our research output portal, Pure.

New feature: Sharing DataVault data with an external user

By popular demand, the Research Data Service is pleased to announce the arrival of a brand new feature: the DataVault Outward Staging Area (DOSA), a free-of-charge benefit to DataVault depositors.

What is a staging area? Somewhere your data can be held temporarily, on the way to somewhere else. Just like a traditional staging post for stagecoaches, as shown in this engraving.

Imagine: your multi-terabyte dataset is safe-and-sound in your vault, you’ve cited it in a paper you’ve just published, and an external researcher has asked you for a copy. What will you do?

Simple: send a request to IS Helpline (or data-support@ed.ac.uk) asking us to create a DOSA folder for your data.

We’ll then use DOSA to give temporary (two months) external access to a copy of your deposit, using a Globus FTP endpoint. We’ll retrieve a copy of your data to the folder. And we’ll provide you with the Globus endpoint, which you send to the researcher. They may need to install some software to get the data. Alternatively, for datasets under 500 GB, we suggest a DataSync link will be more suitable. We set that up and provide it to you in the same way as the Globus endpoint. The difference for the end user is they can use the DataSync link (+ password) from their browser. Let us know if you have a preference for a Globus endpoint or a DataSync link (otherwise we’ll decide automatically based on the size).

Workflow: We retrieve your deposit to your DOSA folder. We provide you with either a Globus endpoint or a DataSync link, to provide to your external person who made the request.

The DOSA is part of our networked active data storage, DataStore, but separate from the other staging area we provide for users making a new deposit (‘the DataVault staging area’), for the inward route.

Since 2016 researchers have been archiving data in Edinburgh DataVault. The DOSA is available for any DataVault deposit, old or new.

DataVault Outward Staging Area (DOSA): Sharing data with an external user

Not sure you’ll remember the name of the service? Worry not! I have a mnemonic device for you: just remember that a ‘dosa’ is an Indian savoury pancake. What’s not to like?

Open Research Support at Russell Group Universities

As part of my work as Research Data Steward, I was asked by our Open Research Co-ordinator to investigate the open research support available at Russell Group universities and how the University of Edinburgh compares.[1] Open research, which is also known as “open science” or “open scholarship”, refers to a collection of practices and principles around transparency, reproducibility and integrity in research. To understand to what extent Russell Group universities have adapted to the ongoing development of open science, we have conducted analysis in terms of four areas. Do they have a published policy around Open Research? Do they have an Open Research Roadmap? Do they mention any training or specific support for researchers in achieving Open Research? What services do they provide to support Open Research?

Firstly, we checked whether those universities have a policy/statement that outlines the university’s approach to support open research and key principles for researchers. Less than 30% of these universities have a clear policy or statement for Open Research. Good examples include the University of Cambridge,[2] University of Sheffield,[3] and Cardiff University.[4]

Secondly, we checked whether they have a Roadmap that provides a set of questions that universities can use to monitor their progress in implementing Open Science principles, practices and policies at a local level. Among the Russell Group members, University of Edinburgh and University College London – two members of the League of European Research Universities (LERU) [5] provide a roadmap/page dedicated to monitor their progress. Facets of open researchThirdly,what services are provided to researchers to make their work public? Most universities provide support like a data repository (except for LSE), Research Data Management support, Open Access to publications and thesis and guidance on sharing research software. A few provide support on protocols sharing. Some universities have started hosting an open research conference. For example, UCL Open Science Conference 2021, 2022,[6] Open Research Symposium hosted by the University of Southampton,[7] and University Open Research Conference, June 2021, at the University of Birmingham.[8] As an active member of LERU, our university also joined in to launch our first Edinburgh Open Research Conference in May, 2022.

Lastly, we have found all universities have training relevant to open research, with around half of them clearly advertising their training. Some good examples which we could learn from include the “Open Research education for doctoral students” from Imperial College[9]  and a practical libguide for open research provided by the University of York[10].

We are glad to see that Russell Group members have started adopting actions to support Open research, which is considered part of the new normal for research-intensive universities. However, this is a long and ongoing process. We have seen that many universities are still in the early stages of the implementation process and more can be done to advance their practice, including ours.
